About FOTE :

Go West involvement in FOTE began in 2015 with the first Symposium and we have been involved each year since. Food on the Edge is a coming-together of top international chefs for a two-day Food Symposium in Galway city on the Wild Atlantic Way. Food on the Edge is a not-for-profit conference seeking to make good food accessible for everyone.

Approximately 50 chefs speak over the two days of the symposium. All are chosen for their innovation, passion and influence on today’s food culture. Each speaker, with their own unique perspective, talks for 15 minutes on the cultural, social, environmental and educational aspects of food. The emphasis for the talk is on their vision for the future of food and how we can make things better on both a local and a global level.

The brief from the client to Go West was to plan & manage the event for 2018 to include:-

Delegate Support, Online Registration & Onsite Registration

Number of delegates:  430

  • Go West managed registration for all delegates, media, guests and speakers.  Go West set up and managed the online registration for FOTE delegates using specialist conference software Tito.  The registration form was tailored to meet the specific requirements of FOTE including categories of registration fees and registration types.
  • Registration reports with details of registration income and number of delegates were sent to the FOTE Director on a regular basis in accordance with the Service Level Agreement.
  • Go West was responsible for responding to all delegate queries (telephone calls and emails) within 24 hours during office hours 9-5pm Monday to Friday. Go West completed mailings to all delegates received an email with details on the Symposium.
  • Go West managed badge lists and distribution for each category of attendee and ticket type (1 or 2-day ticket) over the 2-day conference.
  • Go West issued refunds as per cancellation policy.
  • Go West set up and manned a pre-conference registration desk on the 21st of October.  Go West manned the registration desk on site on the 22nd and 23rd of October.  Badges and delegate packs were distributed from this desk.

Accommodation Block

Go West managed and secured the hotel accommodation block in Galway city for both delegates and visiting speakers.

Speaker & VIP Guest Liaison

Go West managed the travel arrangements for all speakers and invited guests. This included flights, airport transfers, social programme transport, shuttle bus transport to and from venues.

We also co-ordinated and booked all of their accommodation requirements for the Symposium.  Go West maintained and communicated the rooming lists for symposium and the post symposium tour for Chefs and Media. Go West reimbursed expenses incurred by Speakers and approved by the conference organiser.

Speaker & VIP Communication Schedule

Go West prepared and implemented a schedule of communication to speakers. A list of invited speakers was supplied to Go West outlining the speaker’s entitlements.  Go West wrote to all speakers included on the list and outlined their entitlements to them personally.

Go West collected all presentations, presentation titles and themes, biographies and profile pictures from all speakers and provided this information to the FOTE team once received.

We gathered flight preferences for all speakers.  Go West researched different flight options and offered the most direct/economic flights to all speakers for their approval prior to making any bookings.

A database was kept with all speaker information.

Management of Transport Logistics

  • Go West contracted, co-ordinated and managed all transport providers for the duration of the Symposium
  • Go West provided a meet & greet representative at Dublin Airport
  • Go West provided solutions to any of the speakers who had to make last minute changes to their travel plans.

Management of Logistics and Reporting

  • Go West provided regular reports for the following:
  • Cost report for all flights and transfers booked to understand where total costs are from a  budget perspective
  • Hotel rooming list and accommodation costs for Symposium and post symposium tour
  • The social programme listing of all guests RSVP to the welcome dinner, evening events, post symposium tour Coach Transfers
  • Private Transfers

Budget & Financials

In addition to preparing and submitting regular reports with costs updates and budgets evolutions, Go West undertook to achieve the best possible financial result for FOTE 2018 in terms of flights, transfers and accommodation by negotiating and finding the lowest costs available.

Management of Audio Visual Requirements and Stage Production

  • Go West contracted and managed the services of an approved AV company to provide audio visual support at FOTE 2018.
  • Go West prepared a detailed running order for the main stage each day.  Members of the AV team were briefed in advance with regard to the running order and any special requirements.
  • On site Go West liaised with each of the speakers and the Symposium MC to ensure that the programme ran on schedule.
